This Privacy Policy explains how Isaac Johnston, doing business as FillMyClass ("FillMyClass," "we," "us," or "our"), a sole proprietorship based in Georgia, USA, collects, uses, discloses, and otherwise processes information when you access or use our websites, web application, mobile applications (iOS and Android), and related products, features, communications, and support interactions (collectively, the "Services").
The Services are offered in the United States and are intended for users 18 and older. By using the Services, you acknowledge the practices described in this Privacy Policy.
1. Scope
This Privacy Policy applies to information we collect through the FillMyClass website, web application, and mobile applications, and through related communications and support interactions.
If an Organization (a school, district, company, facility, or other entity) uses the Services under a separate written agreement with us, that agreement may contain additional privacy and security terms that apply to information the Organization provides through the Services, and will control to the extent of any direct conflict with this Privacy Policy.
2. Overview of the Services
FillMyClass is a coverage and substitute-management tool. Organizations use it so staff members ("requesters") can request coverage, coverage providers (such as substitutes) can be notified and accept or decline, and administrators can see what is filled or unfilled. We use examples from schools, but the Services serve any organization that manages coverage among its staff (for example, nursing homes or other care settings).
3. Information We Collect
Information you provide directly. This may include your name, email address, phone number, profile photo, Organization affiliation, account credentials, professional profile details (such as credentials and availability), notification preferences, coverage request details (titles, descriptions, subjects, dates/times), notes, messages, sub plans, attachments (images, PDFs, Word documents, and links), support requests, and any other information you choose to submit through the Services.
Third-party sign-in. If you use a third-party login method, such as Sign in with Apple or Google sign-in, we receive information from that provider such as a unique account identifier, your name, your email address, and other profile information you authorize the provider to share with us.
Payment information. If you or your Organization purchase paid features or services, we and our payment processor collect billing, payment, subscription, and transaction information necessary to process the purchase.
Information collected automatically. When you use the Services, we automatically collect certain information, which may include IP address, browser type, device type and identifiers, operating system, app version, login events, crash and diagnostic data, usage logs, dates and times of access, pages or screens viewed, and information collected through cookies, local storage, SDKs, and similar technologies.
Information from Organizations. We may receive information about you from Organizations that use the Services, including when they invite you, create or administer accounts, associate you with an Organization or location, assign roles, or submit coverage requests involving you.
SMS and messaging preferences. Your SMS opt-in status and your notification and messaging preferences.
4. Sensitive and Third-Party Information
Users and Organizations should not upload or submit sensitive personal information through the Services unless it is reasonably necessary for coverage and they are authorized to do so. Examples include Social Security numbers, government identification numbers, financial account information, payment card information, passwords or security credentials, medical or health information (including patient, treatment, diagnosis, or medication information and protected health information), disability information, student education records, student disciplinary information, confidential personnel records, background-check information, or other highly confidential or regulated information.
Unless we expressly agree otherwise in writing, the Services are not intended to serve as a general-purpose repository for student records, medical or patient records, protected health information, personnel files, background-check records, or other highly sensitive or regulated records. We may remove or restrict access to content that we believe creates legal, privacy, or security risk. Coverage request content (such as sub plans, notes, and attachments) may incidentally contain personal information about third parties, such as students or care recipients; Organizations and users are responsible for what they submit.
5. How We Use Information
We use information we collect to:
- provide, operate, maintain, secure, and improve the Services;
- create, authenticate, and administer accounts and Organization memberships;
- enable coverage requests, notifications, messaging, and related workflows;
- communicate with you about your account, support issues, updates, and service-related notices;
- send transactional push notifications, emails, and SMS messages related to the Services;
- process payments;
- troubleshoot errors, monitor performance, prevent fraud, investigate abuse, and protect the security and integrity of the Services;
- comply with legal obligations and enforce our agreements, policies, and rights; and
- evaluate, develop, and improve our features, user experience, and business operations.
We may use aggregated, de-identified, or otherwise non-personal information for analytics, product improvement, research, and business operations, to the extent permitted by law.
6. We Never Sell Your Personal Data
We never sell your personal data, and we do not share it for cross-context behavioral advertising. We do not authorize our service providers to use personal information for their own unrelated marketing purposes.
7. SMS / Text Messaging Privacy (A2P 10DLC)
SMS is strictly transactional (for example, job alerts and reminders). We collect SMS consent through a clearly labeled consent disclosure presented at sign-up. You may opt out of SMS messages at any time by replying STOP; opting out of SMS does not affect your ability to use the Services.
No mobile information will be shared with third parties or affiliates for marketing or promotional purposes. Information sharing with subcontractors that support the SMS service (such as our messaging/delivery providers and customer-support tools) is permitted solely to deliver the messages you have requested. Text-messaging opt-in data and consent will not be shared with any third parties for their own purposes.

8. How We Disclose Information
We disclose information only as needed to run the Services:
- Within your Organization. Administrators and relevant users see coverage requests, profiles, availability, and related data necessary to coordinate coverage and administer the Organization's account.
- Service providers and subprocessors. We use vendors that
process data on our behalf under terms limiting their use of the data. We
group them by category so this list stays accurate as our technology
evolves:
- Cloud hosting, database, authentication, and file storage (for example, our database, authentication, file-storage, and realtime-infrastructure provider, and our web-app and marketing-site hosting providers);
- Authentication / sign-in (for example, Sign in with Apple and Google sign-in);
- Push, email, and SMS notifications (for example, our push-notification provider, transactional-email provider, and SMS/messaging providers using A2P 10DLC-registered messaging);
- Error and crash monitoring (for example, Sentry);
- Payment processing (for example, our payment processor(s), if and when Organizations pay).
- Legal and safety. We may disclose information to comply with law, legal process, or government requests, to enforce our Terms of Service, or to protect the rights, property, safety, and security of FillMyClass, our users, or others.
- Business transfers. If we are involved in a merger, financing, acquisition, reorganization, sale of assets, bankruptcy, or similar transaction, information may be transferred as part of that transaction, subject to customary confidentiality arrangements.
- With your direction or consent.
9. Cookies and Similar Technologies
We and our service providers use cookies, local storage, SDKs, and similar technologies to keep you signed in, remember preferences, secure the Services, understand usage, troubleshoot problems, and improve performance.
You may be able to control certain cookies or similar technologies through your browser or device settings. If you disable certain technologies, some parts of the Services may not function properly.
We do not currently respond to browser "Do Not Track" signals.
10. Children's Privacy (COPPA)
The Services are intended for adults, such as staff members, coverage providers, and Organization administrators. Users under 18 are not permitted to create accounts, and we do not knowingly collect personal information from anyone under 13. If you believe a child has provided personal information to us, please contact us at help@fillmyclass.com so we can review and address the issue.
11. Student, Patient, and Third-Party Information (FERPA / HIPAA)
Student information and FERPA. FillMyClass does not host or collect student records as a product feature. However, sub plans, notes, and attachments uploaded by users may incidentally contain student or other third-party personal information. Organizations (including schools, districts, and educational institutions subject to FERPA or similar student privacy laws) are responsible for determining whether and how those laws apply to their use of the Services, for their own privacy-law compliance, and for what their users upload. FillMyClass acts as a service provider that processes such content only to provide the Services, under the direction and control of the Organization, and does not use it for any other purpose or re-disclose it except as directed by the Organization or required by law. We do not use student education-record information for targeted advertising. Users must not upload sensitive personal information unless reasonably necessary for coverage and authorized.
Patient information and HIPAA. The Services may be used by healthcare-related, nursing, care, staffing, or similar Organizations. However, unless FillMyClass enters into a separate written agreement specifically addressing healthcare privacy obligations, including a Business Associate Agreement where required, the Services are not intended to collect, store, process, or transmit protected health information as defined by HIPAA or similar laws. Healthcare-related Organizations and users are responsible for ensuring that they do not submit patient information, protected health information, medical information, treatment information, diagnosis information, medication information, or other regulated healthcare information unless they are authorized to do so and appropriate written agreements are in place.
12. Data Retention
We retain personal information for as long as reasonably necessary to provide the Services, maintain account and business records, resolve disputes, enforce our agreements, protect the security and integrity of the Services, comply with legal obligations, and support legitimate business operations.
Because the appropriate retention period depends on context, we may retain different categories of information for different periods. For example:
- account and profile information may be retained while your account is active and for a reasonable period afterward;
- coverage requests, notifications, and related records may be retained as needed to support service operations, Organization needs, and legal or contractual obligations;
- technical logs and diagnostics may be retained for shorter periods unless needed for security, fraud prevention, or investigations; and
- backup copies may persist for a limited additional period before being overwritten or deleted.
If you request deletion, we may retain information where permitted or required by law, including for security, fraud prevention, dispute resolution, legal compliance, backup integrity, and enforcement of our agreements. We may retain de-identified or aggregated data.
13. Account Deletion and Your Choices
Account deletion. You can delete your account directly in the app (in your account settings) or by emailing help@fillmyclass.com. When you delete your account, we delete the personal information associated with it, except for information retained as described in Section 12. If your account is associated with an Organization, certain records may remain available to that Organization, such as historical coverage requests, logs, or records reasonably necessary for the Organization's operations or compliance obligations.
Account settings. You may update certain account and profile information through your account settings.
Notifications. If you receive SMS messages from us, reply STOP to opt out (see Section 7). You may control push notifications through your device settings.
14. Security
We maintain reasonable administrative, technical, and organizational safeguards designed to protect personal information. However, no method of transmission over the internet, mobile network, or electronic storage is completely secure, and we cannot guarantee absolute security. You are responsible for keeping your login credentials confidential.
15. California Residents
While we may not currently be subject to the California Consumer Privacy Act (CCPA/CPRA), California residents may contact us at help@fillmyclass.com to request access to, correction of, or deletion of their personal information, and we will respond in good faith. We do not sell your personal information and do not share it for cross-context behavioral advertising. You will not be discriminated against for making a request. We may need to verify your identity before responding to a request.
16. Other State Privacy Rights
Some states (for example, Virginia, Colorado, and Connecticut) have comprehensive privacy laws that may give residents rights to access, correct, delete, or obtain a copy of their personal data. Whether or not these laws apply to us, residents of any state may contact us at help@fillmyclass.com with requests regarding their personal information, and we will respond in good faith. Because we do not sell personal data or use it for targeted advertising, certain opt-out rights under these laws may not be relevant to the Services.
17. International Users
The Services are operated from the United States and are primarily intended for use by Organizations and users in the United States. If you access the Services from outside the United States, you understand that your information may be collected, processed, stored, and used in the United States and other jurisdictions where our service providers operate.
18. Third-Party Services and Links
The Services may integrate with or link to third-party services that we do not control. This Privacy Policy does not apply to the privacy practices of those third parties. We encourage you to review the privacy policies of any third-party services you use.
19. Changes to This Privacy Policy
We may update this Privacy Policy from time to time. When we do, we will post the updated version and revise the "Last Updated" date above. If we make material changes, we will also provide additional notice through the Services or by other appropriate means.
